Registrations

The Registration feature lets you to create a customized registration process for new clients before they can book services. This tool can be used for various purposes beyond traditional registration, such as collecting information for price quotes, scheduling free consultations, or handling intake forms. By gathering essential client information upfront, you can better prepare for their needs and ensure a smoother booking experience.

Setting Up Registration Flow

To enable and configure the registration flow for your business:

  1. Navigate to “Booking Policy” from the main menu.
  2. Locate the “Require New Client Registration” toggle and turn it on.
  3. This creates a split in your booking process – new visitors will be directed to register first, while existing clients can proceed directly to booking.

Once enabled, your booking page will display two options for visitors: “Registration” for new clients and “I’m an Existing Client” for returning clients. This helps streamline the booking process by ensuring you have all necessary information from new clients before they schedule appointments.

Designing Your Registration Form

You can customize the registration form to collect exactly the information you need from potential clients:

  1. Go to “Registrations” from the main menu.
  2. Select the “Form Design” to design your custom registration form.
  3. The form will automatically include standard fields (name, email, phone) at the top.
  4. Add custom questions by clicking the “+” button at the bottom of the screen.

For each question you add, you can:

  • Question Text: Enter the question you want to ask potential clients.
  • Options: For multiple-choice questions, enter one option per line. Leave blank for free-text responses.

You can add up to 30 custom questions to gather detailed information relevant to your business needs. Questions can be rearranged to create a logical flow, and you can remove questions when they’re no longer needed.

Managing Registration Submissions

When potential clients submit your registration form, you’ll receive the submissions in your admin panel:

  • All tab: View all registration submissions.
  • Pending tab: Submissions awaiting your review.
  • Approved tab: Registrations you’ve approved.

Reviewing and Approving Registrations

  1. Click the Pending tab to see submissions needing review
  2. Review each registration’s details and form responses
  3. For each registration, choose to Approve or Decline

When You Approve a Registration:

  • Client is added to your system (or existing client is updated)
  • Client gains access to restricted services (if you have any)

The registration flow feature is flexible and can be adapted for various business needs:

  • Service Quote Requests: Collect service details to prepare accurate quotes before booking.
  • Consultation Screening: Gather background information before free consultations.
  • Intake Forms: Create detailed intake questionnaires for healthcare or wellness services.
  • Class Registration: Set up application processes for classes, courses, or workshops.

Customized Terminology

You can customize how the registration feature appears to your clients by changing the terminology:

  1. Go to “Booking Settings” from the main menu.
  2. Scroll down to “Custom Wordings” and enable the toggle.
  3. Find the “registration” term in the list and change it to match your business needs.

When you customize the “registration” term, the system will automatically reflex the changes including in:

  • The heading on the registration form page
  • The “Registration” button text

For example, if you’re using the registration flow for price quotes, you might change “Registration” to “Request a Quote.” If you’re using it for client intake, you might change the wording to “New Patient Intake Form.” This customization helps align the language with your specific business model and client expectations.
