Service Details
This guide walks you through updating and managing the details of your services to ensure an efficient booking experience for your clients. Navigate to the ‘Services’ page from the main menu, click on a service to go to the ‘Service Details’ page, you can customize various attributes of the service:
Service Name and Color
Specify the service name and assign a color, which helps differentiate this service in the calendar and schedules. The assigned color is particularly useful in visually organizing schedules.
Service Terms
Detail the terms of service, such as any cancellation policies. This information is crucial for informing clients about the conditions associated with the service.
Service Duration and Buffer Time
Define how long the service takes and optionally set a buffer time between appointments for preparation or breaks.
Setting Timetable
Timetable is a feature for managing the scheduling of your services where regular weekly schedules are required. They let you to:
- Establish fixed time slots for each service on specific days.
- Ensure that services are organized according to a consistent schedule, crucial for client planning and resource allocation.
- When setting timetable, consider the assigned staff’s work hours and time off, as these will affect the availability of the scheduled time slots.
Flexibility Without Timetables
For services that do not require a fixed weekly schedule, or ad-hoc dates and times:
- Time slots are dynamically generated based on the interval settings defined in the ‘Booking Policy’.
- The availability of dynamic time slots is also determined by the assigned staff’s work hours and time off. Staff members can set their work hours and indicate time off in their Profile. This ensures that services are only bookable when staff are available.
Service Sessions
Classes and tours use a session-based model with a calendar-style interface:
- Calendar List View: See all sessions in a scrollable calendar format, grouped by date
- Single vs. Recurring: Choose between one-time sessions or recurring sessions that repeat on specific days each week
- Edit Sessions: Tap any session to edit date, time, and capacity
- Add Sessions: Tap the “+” button on any future date to quickly add a new session
- Past Sessions: View historical sessions (read-only with lock icon)
Max Capacity
Applicable for classes or tours, set the maximum number of participants allowed per session.
Price and Payment Requirements
For services and classes, enter the service price and decide if a deposit is required at the time of booking. The deposit can be either a partial amount or the full price, ensuring some financial commitment from the client for the booking. For tours, pricing is handled through guest types, allowing different prices for different categories of participants.
Guest Types and Prices (Tours Only)
For tours, you can configure different guest types (e.g., Adult, Child, Senior) and their corresponding prices.
- Adding Guest Types: Click the ‘+’ button to add a new guest type. You can specify up to 10 different guest types.
- Setting Prices: Each guest type can have its own price. Enter the price for each type in the designated field.
- Managing Guest Types: The first guest type (typically “Adult”) cannot be deleted, but additional guest types can be added or removed as needed.
- When clients book a tour, they’ll select the number of guests for each type instead of entering individual guest names.
Staff Assignment
Choose which staff members are eligible to provide the service. For services, you can select multiple providers, while for classes and tours, assign a single staff member who will be leading the class session or tour. This is essential for managing staff schedules and availability for the service.
Service End Date
Specify an end date to limit the service’s availability, after which it will not be bookable online.
Video Meeting Link
If the service or class is offered via a video meeting, provide the link here. It will be shared with clients upon booking.
Custom Form Questions
Custom form questions let you to gather specific information from clients during the booking process, ensuring you have all necessary details before the appointment. This feature enhances the client’s booking experience by tailoring the service to their needs.
- Adding a Question: Click the ‘+’ button to add a new custom form question. A new question field will appear where you can enter the question text and optional answer choices.
- Editing a Question: Click on an existing question to edit its text or answer choices.
- Deleting a Question: Click the trash icon next to a question to remove it. Confirm the deletion to remove the question from the booking form.
- Setting Answer Choices: For each question, you can specify multiple answer choices by entering one option per line in the options field. If no options are provided, clients will be able to type their responses.
- Confirming Changes: After adding, editing, or deleting questions, click the ‘OK’ button to save your changes and update the booking form.
These custom questions will appear on your online booking form for this service, letting you to collect detailed information from clients.
Online Booking Toggle
This toggle lets you to enable or disable the service for online booking. Disabling it temporarily removes the service from your booking page without deleting its details.
Service Information
Instructions to help your customers prepare for their service, such as what to bring or where to meet. Service Information appear prominently on the booking confirmation page, and can also be included in booking confirmation email templates. This ensures clients have all the information they need before their appointment.
Restricted Services
This toggle lets you to restrict access to this service to authorized clients only. When enabled, only clients you’ve approved in the Clients section can book this service. This feature adds an extra layer of security, preventing unauthorized access to your schedules and protecting sensitive service information from competitors or non-customers. It’s particularly useful for exclusive or specialized services that you want to offer only to verified clients.
Common Use Case: Create a public “Initial Consultation” service that anyone can book. After the first consultation, approve the client in the Clients section to access your restricted premium services.
